Time & Attendance

“Access control”, “Timekeeping”, “Time and Attendance” and “Leaves/Absence Management” are names mostly used interchangeably for applications that provide similar functions but vary in scope and purpose.

HUMANIST® Time and Attendance Management Application Suite comprises of the below detailed modules. These modules can be synced with external databases of access control equipment to provide the underlying features:


Leaves and Absence Management module

  • Due to the lack of enough benchmarking and frequent changes in related legislation, most HR departments not having HUMANIST use independent ‘Excel Sheets’ or ‘Access Files’ for leaves and absence tracking, which leads to excessive data control needs, which in turn leads to wasted work hours, inconsistent data, misleading reports and higher HR management costs
  • HUMANIST provides the comfort of detailed tracking and reporting of annual leave/vacation, administrative absences, and unpaid leaves within the same application. Official annual leaves and other leave types of leaves (marriage, maternal, bereavement and sickness) can be tracked and reported separately in a single application
  • As many interrelated activities such as training schedules, work history, military service details, days on strike, unpaid leaves or absence reports are kept in the same database; complicated calculations such as leave accruals and balance earned leave days is just a click away
  • Annual leaves earned for each employee can be calculated automatically with a selection of daily, monthly or annual scheduling system, reducing the time and error in calculating and checking such data manually
  • The system can also be integrated with the payroll system which is as easy as ticking a check box. Integration with HUMANIST payroll module facilitates direct use of actual leaves data in accrual calculations
  • Leave and absence types are user defined in HUMANIST. Users can define as many different absence types as they require

Leave Requests Workflow module

  • Being one of the HR service delivery functions, this module allows employees to plan, request, review and manage their leaves / absence records by themselves with their line managers approving them electronically, even if they are not in the office
  • Two-way integration with training calls in HUMANIST® Learning and Development module also enables the system to warn training department staff on leave-absence / course schedule conflicts or preventing an employee from submitting a leave request if the leave-absence dates conflict with a scheduled training
  • Two-way integration with HUMANIST Timekeeping Entries module enables comparison of actual attendance records with leaves records and automatic creation of timekeeping records
  • Periodic batch leave usage processes and web-based leave realisation forms allows employees to make their early return or late return entries with electronic signature. Thus, creating a sophisticated mechanism to collect data from the source at the time of realization and controlling the whole system with ease

Overtime Requests Workflow module.

Controlling employee overtime is one of the important HR issues for an organisation. No organisation would like:

  • Their employees to misuse overtime payments
  • Their line managers to exploit their teams by forcing them to work late all the time
  • Their departments to work inefficiently and be unaware of the fact until it is too late
  • To have legal problems with their employees because of not complying with legal overtime ratios

HUMANIST® Overtime Requests Workflow module:

  • Allows employees to plan their overtime work ahead of time
  • Enable line managers to have control over which employee needs to work overtime and who does not
  • Allows HR departments to relate approved and realized overtime to timekeeping entries and have full control over overtime payments and late office work plans to facilitate meals and transportation for such employees
  • Enables line managers and management to plan overtime work instead of asking everybody to stay late in times of panic
  • Creates a more planned and controlled work environment which in turn decreases the risk of unnecessary overtime which may lower employee engagement
  • Facilitates overtime to be used to increase effectiveness without decreasing efficiency

Timekeeping Entries Workflow module

  • Depending on an organisation’s working conditions and structure, Access Control systems may or may not be necessary for an organisation. However, timekeeping data is always needed and collected in many different forms
  • HUMANIST® Timekeeping Entries Workflow module collects timekeeping data from the distributed work locations for workforce analytics reporting and payroll calculations
  • HUMANIST enables timekeepers to define standard work models and work plans for all types of work (normal and overtime) based on shifts
  • The application can create automatic timekeeping data based on default values, making the data entry authorised user to enter / modify only the irregular data. This eliminates the need for re-entering routine data every month
  • The application can automatically create, collect, interpret and report actual exit/entry data by comparing the transactions with the work plans, thus enabling fast and flawless timekeeping operation by just asking the timekeepers / department managers to approve the results and fill in the missing data / broken links
